We are self-managing hosts of 6 short-term rental properties (WI, MN, CO) and are looking for a US-based Virtual Assistant / Co-Host to support guest communication and operational oversight.
This is primarily a remote role focused on inbox management, booking request handling, coordination with cleaners and maintenance, and "on call" for emergency coordination for 3 properties. To start, it is for a trip where we'll be gone for 3 weeks and completely offline for 6 straight days and other days. It could grow into a longer term role.
We have strong automation in place (Hospitable PMS + auto responder) and a signification operational knowledge base, so this is not a from-scratch management role. It’s more about monitoring, decision-making, and stepping in when needed.
Responsibilities:
• Monitor and respond to guest messages via Hospitable
• Review and handle non–instant booking requests
• Step in when AI responses need correction or personalization
• Confirm upcoming arrivals are ready (cleaner scheduled, no open issues)
• Coordinate with cleaners and maintenance when issues arise
• Escalate true emergencies appropriately
• Follow our Notion-based knowledge base and SOPs
This is remote communication + oversight. We already have cleaners and maintenance teams in place.
Ideal Candidate
• US-based (required)
• Prior STR messaging or co-hosting experience
• Excellent written communication skills
• Calm under pressure
• Tech comfortable (PMS platforms, Google Drive, Notion)
• Comfortable working alongside AI tools
• Highly responsive (fast replies required)
Bonus if you have experience with:
• Hospitable
• Airbnb + VRBO messaging
• Multi-property oversight
Hours & Availability:
• Estimated 5–10 hours per week ongoing - not blocks of time but as-needed
• Higher coverage during travel periods
• Must monitor incoming messages fast
• Evening/weekend responsiveness required (hospitality schedule)
Compensation
• Hourly: $22–$30/hour (depending on experience)
• Paid for actual hours worked
• No revenue percentage structure
• We value efficiency and clarity — we don’t want to overcomplicate compensation.
What This Is NOT:
• Not a % revenue co-host role
• Not full-service property management
• Not hands-on cleaning (fully remote)
• Not pricing strategy management
