We are looking to hire a Director of Operations & Client Experience to handle all the operational and client service details of a small but very busy, concierge medical practice.
This role is central to ensuring an unparalleled patient experience while also building scalable systems that support growth, efficiency and excellence. Therefore, not only do you need to enjoy being busy, working with discerning, VIP-level clients and anticipating and solving problems, you also must have a systems-minded approach to work, the capability to build new systems and create new processes, and be highly adept at managing complex workflows. The Work
As a priority, the following is paramount to success in this role:
• It feels natural to you to digitally organize yourself e.g., Notion, Google Docs, etc.
• You can intuit a project management workflow as if you were a human version of ClickUp, Asana, or Monday
• You easily understand why Salesforce is so robust, even though you don't use/ need all of its functionality
• You understand how the above three bullets give a VIP client a seamless white- glove experience because you have a detailed, organized back-office system that allows you to provide an excellent, unparalleled Front of House
• Operations & Systems Leadership
• Lead and manage complex operational workflows to ensure seamless, efficient, and high- quality service delivery that helps build strong customer relationships
• Build, refine, and optimize systems and processes that support scalability and consistency, reduce inefficiencies and redundancies, and create operational excellence
• Oversee daily operations with a proactive, solutions-oriented mindset
• Handle all systems, organization & data management. Build and manage spreadsheets to track patient records & workflows; reconcile daily & monthly financial transactions; handle accounts payable and vendor documentation
• Client & Patient Experience
• Serve as the primary point of contact and relationship manager for high net-worth patients ensuring an exceptional concierge experience
• Foster strong trusted relationship through outstanding communication and interpersonal skills
• Set and uphold the standard for luxury, white-glove customer service across all touch points
• Anticipate client needs and resolve issues with discretion empathy, and professionalism
• Ensure consistency and excellence in patient communication before, during, and after services
• Manage and schedule appointment, blood draws, prescription management, and follow up
• Schedule medical treatments with providers and patients across multiple states and time zones

• Support startup-style growth initiatives with flexibility and strategic thinking
• Assist in scaling operations while preserving the personalized, high-touch nature of the practice
• Leverage technology to improve efficiency, organization, and client experience
• Collaborate closely with the founder to align operations with long-term business goals

Your Experience & Skills
• 3+ years in operations, with a love of and natural inclination towards technology and using tech systems to organize yourself
• Concierge services, or high-touch client services experience
• Previous experience coordinating complex scheduling and logistics and working across multiple locations and multiple tech platforms
• Familiarity, interest or experience in healthcare, wellness, or concierge medicine a plus
• Advanced spreadsheet skills
• Remote work experience strongly preferred

• Proximity to 90211, with ability to be in-office 2x month, a plus, but please apply if you feel strongly suited for the role but live outside of California.
