Transportation Investment Corporation (TI Corp) is a public crown corporation focused on delivering major infrastructure projects in British Columbia. The Administrative Assistant for People and Culture will provide a range of administrative support to enhance recruitment and selection processes, draft documentation, and maintain administrative systems while fostering a collaborative work environment.
Responsibilities
- Provides administrative support in the recruitment and selection process by creating and maintaining competition files, posting positions, and coordinating hiring documentation and onboarding processes
- Drafts People and Culture documents including employment offers and agreements, correspondence, and other documentation
- Schedules recruitment meetings, phone screens, interviews, references checks, and many other meetings as required
- Composes, types, formats, proofreads, and edits a variety of documents and materials using desktop tools such as Word, Excel, PowerPoint, and Outlook
- Develops, implements, and maintains administrative systems, procedures and standards for correspondence, records management, and mail processing
- Screens incoming correspondence in the People and Culture general inbox, and responds or forwards to appropriate team member for their attention and/or response
- Coordinates administrative onboarding and offboarding processes of employees with MyHR, IT, Facilities, and Corporate Services
- Coordinates and books new employee orientation activities – monthly meet and greet, new employee email, 1:1 meetings for corporate staff etc
- Tracks employee lifecycle changes (new hires, position management, transfers, leaves, terminations)
- Monitors employee information (e.g., hire dates, probationary periods, temporary assignments, secondments, etc.)
- Supports in additional administrative tasks as assigned by the People and Culture team
Skills
- Several years of experience providing administrative services in a confidential capacity or, an equivalent combination of education and experience
- HR experience is not required but would be considered an asset
- Knowledge of standard office policies, procedures and processes
- Keen willingness to learn, and demonstrates being proactive and is self motivated
- Excellent organizational skills
- Excellent attention to detail
- Ability to work well under pressure to meet deadlines
- Microsoft Office Product experience – Word, Excel, PowerPoint, Outlook
- Successful completion of security screening will be required as a condition of employment with TI Corp
- You must be legally authorized to work in Canada
- An offer of employment is conditional upon the completion of an acceptable current criminal record check
